What Makes a PDF Fillable

Not every PDF accepts typed data. A fillable PDF, technically an AcroForm, carries a layer of named form fields over the page. A scanned or exported document has no such layer, so there is nothing to fill. If a reader shows no clickable boxes, the form needs fields added first.

How Column Headers Get Matched to PDF Fields

Fillable reads the first row of your spreadsheet as column headers and compares each against the field names in the PDF. Matching ignores case, spaces, underscores, and punctuation, so a field named last_name matches a header written as Last Name. Partial wording matches too. Every pairing appears in an editable table before filling.

When a Column Has No Matching Field

A spreadsheet column with no matching PDF field, or a field no column covers, stops nothing. In the mapping table, a field without an automatic match stays blank; pick a column from its dropdown, or leave it unmapped so the field is skipped. Unmatched columns are ignored. Skipped fields are listed after filling.

Why .xls Files Need to Be Saved as .xlsx

Fillable reads .xlsx directly in the browser: a zipped bundle of XML that Excel, Google Sheets, and Numbers all produce by default. The older .xls format is a different binary structure this tool cannot parse. If your data is still .xls, open it, choose Save As, and pick .xlsx before uploading.

Questions

Does the column order in my spreadsheet matter?

No. Fillable matches columns to fields by header text, and you can change any match before filling.

Is my spreadsheet or PDF uploaded to a server?

No. Fillable reads the .xlsx file and the PDF entirely in your browser, and the filled forms are generated on your device.

What if a column header does not exactly match a field name?

Matching ignores case, spacing, underscores, and punctuation, and can match partial wording. If a match looks wrong, pick the right column from that field’s dropdown.

Can I upload a .csv file or a Google Sheets export instead of .xlsx?

Yes. A comma- or tab-separated file works too. From Google Sheets, use File then Download and choose either .xlsx or .csv.

My PDF has no fillable fields, what can I do?

This tool only fills fields that already exist. A scanned or flattened document needs form fields added first, in a PDF editor that supports AcroForms.
