Event staff schedule from CSV
Festivals, conferences and one-off events share the same headache: dozens of staff working different roles across several sites and days, all tracked in a spreadsheet nobody prints. Drop that sheet here and get a clean, grouped roster you can hand to crew chiefs, pin up at sign-in desks and share as a PDF.
1 Load your rotaCSV or Excel, as you already keep it
Your file never leaves your browser. The spreadsheet is read by JavaScript running on your own device, and nothing is uploaded or stored.
2 Check the columnsmatched for you - change any that are wrong
Once a file is loaded, each column is matched to a name, role, date or time here.
3 Title it and downloada printable PDF, built in this browser
Your roster appears here, grouped by date, before anything is downloaded.
Recognised column names
The tool recognises these column names: Staff, Role, Date, Start, End, Site
Built for multi-site, multi-day events
Event staffing rarely fits one page. Stewards cover the arena while techs run the conference hall, and tomorrow the sites swap. Upload your sheet and every shift lands under its own date heading, with each person's role, start and finish time and any site or venue note kept exactly where you put them. Rows with no usable date are not thrown away — they collect under a "No date" group so nothing goes missing before doors open.
Map your columns once
Whether your sheet calls the columns Staff, Role, Site or something else entirely, the mapper picks sensible defaults and lets you override any of them. Choose day/month/year or month/day/year ordering so dates from either side of the Atlantic land on the right day, then check the live preview before committing to paper.
Times that survive the export
Event spreadsheets come from everywhere: a booking system export, a coordinator's hand-built sheet, a template emailed between agencies. Times arrive as 9, 09:00 or a spreadsheet fraction of a day, and dates switch between ISO, British and American orderings mid-file. Rowmill reads all of them and prints a clean start and finish on every row, so crew chiefs see consistent shift times regardless of which sheet the row came from.
Print, pin up, hand out
The finished roster downloads as a PDF with one page per chunk of shifts, page numbers in the footer and your event name as the title. Add a subtitle such as the venue or weekend to keep printouts from different events apart. Everything happens in your browser — the spreadsheet never leaves your machine.
Questions
Our crew sheet has a Site column. Where does it go?
Site, venue and location columns are mapped to the notes field, so the site name prints alongside each shift. If you also have a separate remarks column, combine the two in your spreadsheet before uploading, or map whichever matters most.
Can it handle staff appearing on several days?
Yes. Each shift is a row, so a steward working Friday, Saturday and Sunday appears once under each date heading with that day's times.
We run a one-day conference. Is this overkill?
Not at all. A single-date sheet produces a single dated group, and the PDF still gives you a tidy, printable handout for the sign-in desk.
Can I print separate copies per site?
Yes, one file per site. Rowmill has no filter, so keep a separate spreadsheet for each venue, load each in turn, and put the venue name in the subtitle. Print the full roster once for the office from the combined file.
What about volunteers who never gave a start time?
They still appear. A row only needs a name to survive the build. With a finish time but no start, the time cell reads "until 17:00"; with no times at all it prints empty. Either way the group stays complete for head counts.
