Turn a shift spreadsheet into a printed rota

Rowmill turns an exported shift spreadsheet into a printed rota your team can stick on the wall. Upload the CSV or Excel file your scheduling system gives you, check which column holds what, and download a tidy PDF where each day's shifts sit together in date order. Nothing leaves your browser.

1 Load your rotaCSV or Excel, as you already keep it

to see what a finished roster looks like

Your file never leaves your browser. The spreadsheet is read by JavaScript running on your own device, and nothing is uploaded or stored.

2 Check the columnsmatched for you - change any that are wrong

Once a file is loaded, each column is matched to a name, role, date or time here.

3 Title it and downloada printable PDF, built in this browser

Your roster appears here, grouped by date, before anything is downloaded.

Recognised column names

The tool recognises these column names: Name, Role, Date, Start, End, Notes

Get the rota out of the spreadsheet

Export your schedule from whatever system you already use, or grab the sheet you keep by hand, and drop the file onto the page. CSV, TSV and Excel files all work, and there is a sample rota to try if you want to see the output first. Rowmill reads the rows, groups them by day, and lays them out under your own title and subtitle, so the printed sheet looks like it came from your workplace rather than a spreadsheet.

Check the mapping before you print

Rowmill guesses which column is which, but it shows you the guess so you can change it. Pick the right column for name, role, date, start, end and notes from simple dropdowns. Rows with a name but no date still appear, gathered under a 'No date' heading instead of vanishing, and rows with nothing useful in them are skipped and counted, so you can see at a glance whether anything was left out.

Dates and times handled properly

UK and US style dates, ISO dates like 2026-04-06, and plain day numbers all get read, and you can tell Rowmill which order your file uses. Times come out consistent too: whether the sheet says 9, 09:00 or a spreadsheet fraction of a day, the rota shows a clean start and end for every shift. Days are labelled with the weekday, so Monday's cover and Friday's late finish are obvious before anyone reads a row.

A PDF that fits the wall

The finished rota is a PDF grouped by day, with each person's name, role, shift times and notes on one line. Long names and notes are trimmed to fit rather than spilling across columns, every page carries a footer with the page number, and there is space to tick or initial each row once it has been checked. Print as many copies as you need for the kitchen door, the staff room or the office wall.

Questions

How do I turn a shift spreadsheet into a printed rota?

Drop your CSV or Excel file onto the page, check the column mapping, then click the download button to get a PDF grouped by day, ready to print.

Does it work with Excel files or only CSV?

Both. Rowmill accepts .xlsx and .xls workbooks as well as CSV and TSV text files, and treats them the same way once they are read.

What happens to shifts with a missing date?

They are not lost. Any row with a name is kept and grouped under a 'No date' heading, so you can spot and fix it before printing.

Can I choose which columns are the name, date and times?

Yes. The mapping step shows dropdowns for each field, so you can point Rowmill at the right column even when your sheet uses odd headings.

Is my staff schedule uploaded to a server?

No. Reading the file, building the rota and generating the PDF all happen in your browser, and nothing is sent anywhere.
